Does the investment make financial sense?

Enter your own numbers and see a month-by-month projection: payback, first-year return, three-year cash flow, and what happens when your assumptions turn out to be wrong. Every assumption is visible and adjustable.

User-generated estimate Results come from the figures you enter, not from client data.

Method

How the numbers are built.

Six different kinds of benefit are kept apart, because mixing them is how ROI figures end up inflated.

Hours released
Staff time freed by automation. A capacity measure. It is not money until you do something with it.
Cash savings
The share of those hours you actually convert into lower cost, such as less overtime or a hire you no longer need. You set the share.
Error and rework
The reduction you expect in the monthly cost of mistakes. Counted once.
Retired software
Subscriptions the new system replaces. Counted once.
Additional profit
New volume enabled by spare capacity, at contribution margin, never at revenue. Limited to capacity not already turned into cash.
Working capital
Faster collection releases cash once. It is shown separately and never included in ROI.
Hours released = volume × (tasks × minutes) × automation % × adoption % × ramp ÷ 60 Cash labour = hours released × hourly cost × cash-conversion % Net / month = cash labour + error saving + retired software + incremental profit − recurring costs Investment = implementation + migration + training + other one-time Break-even = first month cumulative cash flow ≥ 0 (interpolated) First-year ROI = (net cash, months 1–12 − investment) ÷ investment Simple payback = investment ÷ steady-state net per month

Benefits and recurring costs begin at go-live, after the implementation period, and build up over your ramp-up period. The calculator shows the full 36-month projection, three scenarios, a sensitivity grid and an exportable report.

Limits

What this calculator cannot tell you.

01

It is not a quote

Implementation cost is whatever you enter. We provide a fixed proposal after a scoping call.

02

It is not a guarantee

Outcomes depend on adoption, implementation quality, running costs and your real business conditions.

03

It reflects your inputs

Placeholder defaults are not benchmarks. If your own numbers are optimistic, the result will be too, so check the conservative scenario.
