How Dental Laboratory Software Improves Case Visibility
A dental laboratory handles many small, physical, time-sensitive jobs. The most common operational pain is simple: nobody can quickly say where a case is. Software helps by making the location and state of every case a by-product of the work itself.
Why visibility is hard
A case starts as a physical impression from a clinic. It passes reception, then production stations such as scanning, design, milling or layering, then quality control, billing and delivery. Each handoff is a chance for status to live only in someone’s head, a message or a paper slip. The result is calls from clinics, walks to the production floor and cases that sit unnoticed.
Identify the case once
The first improvement is a unique identifier. When reception registers a case, the system generates a case number and a QR label that travels with the physical work. From then on, every action can refer to the same record.
Make scanning the update
If staff must separately update a system after finishing a step, they will sometimes forget. A better design makes the update a side effect of work they already do. A technician scans the case’s QR label at their station; the system records who handled the case and when, and advances its status. In the Ye-Almaz laboratory system, scanning at Quality Control moves a case straight to “Ready to Dispatch”.
Show each role what it needs
Reception sees arrivals and the case list. Technicians see the stations they are allowed to use. Dispatch sees a queue from “place order” to “delivered”. Drivers see only their own pickups and deliveries. Finance sees what is cleared and what is owed. Each person gets a clear queue instead of a single overloaded screen.
Connect billing and delivery
Visibility is not only about production. A case is not finished when it leaves the bench; it must be billed and delivered. Linking a delivered case to the clinic’s invoice and balance removes the “what did we deliver?” conversation between finance and reception. Remakes and redos, linked to the original case with the right billing rule, stay traceable rather than becoming exceptions in a spreadsheet.
What it does not fix
Software shows where work is; it does not make production faster. If the production team is the constraint, better visibility reduces calls and administrative effort but does not shorten the production itself. Our efficiency simulator shows this effect: administrative effort falls sharply while the limiting team still sets the pace.
Questions to ask a software supplier
- Can every case carry a unique identifier through the whole process?
- Does scanning update the status, or is it a second job?
- Can clinics see their cases without calling?
- How are remakes and redos linked and billed?
- What does each role see?
